Investors
Role
You will be primarily responsible for managing the day-to-day operations of our office. You will play a key role in creating and maintaining an attractive and functional workplace for our employees and a presentable space for visitors.
Your second responsibility will be to provide executive assistance to the CEO and support the leadership team as required.

Our Business and Operations team is a close-knit group of “doers” who manage the daily operations and long-term vision of a fast-growing biotechnology company. We run a lean structure with strong work ownership and collaborate closely to keep the company's development on track.
Responsibilities:
Office Management
-
Be the first point of contact and manage all office-related matters
-
Ensure that office-related stock is well maintained at all times (kitchen supplies, office stationery, etc)

Proactively reporting repairs, maintenance and cleaning issues
-
Liaise with facility management vendors, including cleaning, deliveries and security services, support with contract administration and price negotiation

Manage meeting room calendars and ensure that the rooms are at company standard

Monitor company phone line

Coordinating internal events and meetings, including team socials and weekly company calls

Partner with the People Team to implement and maintain office policies as necessary e.g. health and safety, electrical equipment testing
Leadership Support

Manage the CEO’s calendar, organising internal and external meetings and ensuring the relevant documentation is shared with all participants

Taking and distributing minutes as required

Arrange and organise travel for the CEO and the board of directors as and when required
-
Provide support with invoice management, bookkeeping and accounting

Assist with internal and external communication, including company updates
Skills and experience
-
Previous experience in an Office Manager role and/or Executive Assistant in a fast-paced environment
-
Detail-oriented, with strong organisational skills and the ability to track and prioritise multiple tasks

Excellent planning & execution skills
-
Solid numerical skills and confidence in monitoring and reporting financial values
-
Excellent written and verbal communication skills, with strong attention to detail and the ability to produce documents to a high standard

Ability to manage upward and develop professional relationships with experienced stakeholders

Commitment to delivering best-class service and company experience for colleagues and visitors

Good working knowledge using email, Word, Excel, PowerPoint and other computer-based tools
